3D FTP REPORT DELIVERY SYSTEM

Users who maintain a current copy of 3D Inspection System software may use an included 3D FTP Report Delivery System option to automatically upload final inspections to a site 3D Inspection Systems arranges to be hosted for delivery to clients. An appropriate private link to each report is automatically generated and emailed to your recipients when sending reports via email and using this option.

To use, your email server must allow you to send standard SMTP emails directly from your computer. If you can send emails directly from Outlook or Outlook Express, then you should be able to use this feature.

Your existing Internet connection must be active at the time you actually email Invoice Forms or inspections. 3D only uses standard SMTP compliant mail client settings. If your email service provider does not support or use standard SMTP compliant protocols, or you use a web based email client that prevents using SMTP outside of its domain, you may not be able to use this feature. This feature will not work with connections using SSL. Some web based email only allow SMTP emailing if your ISP itself allows authentication, which may or may not be allowed by your ISP for outside servers. If the settings you enter are not set up properly, are not standard SMTP, or your server does not support this feature, you may receive an “Error sending email: An error occurred in the protocol” or other error messages.

SETUP

Step A: Set up your SMTP settings (if you have already been emailing from 3D successfully, skip to Step C)

SMTP server: Use your outgoing mail SMTP server setting. Usually in the format mail.yourdomain.com or smtp.yourdomain.com

Login Name: Leave blank if your SMTP server does not require authentication. If server requires authentication, enter Login/Account name here. In Outlook this information may be found in your Account properties Servers tab, Outgoing Mail Server, Settings IF “My server requires authentication” is used.

Password: Leave blank if your SMTP server does not require authentication. If server requires authentication, enter your Password. In Outlook this information may be found in your Account properties Servers tab, Outgoing Mail Server, Settings IF “My server requires authentication” is used.

Email User Name: Enter what should appear in the “From” area of your emails. You must enter something here. We suggest that you do not use your email address for this item, as some servers don't allow the email user name to be an actual email address, which can cause a “protocol” error. Use your actual name or company name instead.

Return Email Address: Enter the return email address for any replies to your emails. Your regular email client will receive the replies. Be sure to enter the email address in the proper format.

SMTP PortEnter port your email provider uses for explicit SMTP.

Step B: Test your SMTP settings

Step C: Enable 3D FTP Report Delivery

Note: If you prefer to upload reports to your own website, you may turn off the 3D FTP Report Delivery and use your own FTP website instead. See Emailing and FTP help topic in Office Management for details.
